Role Description

This is a full-time on-site role for an Office/Project Manager located in Memphis, TN. The Office/Project Manager will be responsible for overseeing project timelines, ensuring successful project execution, maintain a pleasant work environment, ensuring high levels of organizational effectiveness, and communication. Additional responsibilities include streamlining office operations and supporting team members to deliver high-quality projects on time and within budget.

Qualifications

  • Serve as the point person for office manager duties including: maintenance, mailing, supplies, equipment, bills, errands, shopping
  • Schedule meetings and appointments
  • Organize the office layout and order stationery and equipment
  • Maintain the office condition and arrange necessary repairs
  • update and maintain office standards as necessary
  • Organize office operations and procedures
  • Provide general support to visitors
  • Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
  • On and Off-boarding new employees/ recruiting
  • Maintain production and project tracking systems
  • Perform preliminary research on projects
  • Communicate architectural project information
  • Order project surveys
  • Maintain company marketing channels such as social media and website
  • Create proposals, invoices, and manage client accounts via Intuit QuickBooks

Skills

  • Knowledge of office administrator responsibilities, systems and procedures
  • Proficiency in Google Suite (Google Sheets and Google Docs, in particular)
  • Proficiency in MS Office, such as MS Excel will be a plus
  • Hands on experience with office machines (e.g. fax machines and printers)
  • Familiarity with email scheduling tools, like MS Outlook and Outlook Calendar
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • A creative mind with an ability to suggest improvements and solve complex problems
  • Proficiency in Intuit Quickbooks and billing
  • Business development/project management experience (Preferred)
