This is a full-time on-site role for an Office/Project Manager located in Memphis, TN. The Office/Project Manager will be responsible for overseeing project timelines, ensuring successful project execution, maintain a pleasant work environment, ensuring high levels of organizational effectiveness, and communication. Additional responsibilities include streamlining office operations and supporting team members to deliver high-quality projects on time and within budget.Qualifications
- Serve as the point person for office manager duties including: maintenance, mailing, supplies, equipment, bills, errands, shopping
- Schedule meetings and appointments
- Organize the office layout and order stationery and equipment
- Maintain the office condition and arrange necessary repairs
- update and maintain office standards as necessary
- Organize office operations and procedures
- Provide general support to visitors
- Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
- On and Off-boarding new employees/ recruiting
- Maintain production and project tracking systems
- Perform preliminary research on projects
- Communicate architectural project information
- Order project surveys
- Maintain company marketing channels such as social media and website
- Create proposals, invoices, and manage client accounts via Intuit QuickBooks
Skills
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in Google Suite (Google Sheets and Google Docs, in particular)
- Proficiency in MS Office, such as MS Excel will be a plus
- Hands on experience with office machines (e.g. fax machines and printers)
- Familiarity with email scheduling tools, like MS Outlook and Outlook Calendar
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- A creative mind with an ability to suggest improvements and solve complex problems
- Proficiency in Intuit Quickbooks and billing
- Business development/project management experience (Preferred)
